The Junior Farmers' Association of Ontario is hiring for the position of Financial Administrator.
This position will provide bookkeeping services and advice for JFAO in accordance with acceptable accounting standards and government guidelines with regards to incorporated charitable organizations.
MAJOR RESPONSIBILITIES:
-
On a monthly basis,
-input income & expenses into the provided computer software (Simply Accounting 2009)
-prepare invoices, statements, & receipts as requested
-ensure all financial statements and related records are accurate and up to date.
-complete account reconciliation.
-flag overdue accounts
-process all payroll related items for JFAO employees (<5).
-consult with the Director of Finance, President, or Past President on any discrepancies and ensure these officers are up to date on significant changes in finances.
-ensure the confidentiality of all records.
- any other duties as mutually agreed upon to improve efficiencies and financial accountability.
- On a quarterly basis,
-Prepare & submit payroll deductions as required.
-
On an annual basis,
-provide recommendations on budgetary trends.
-complete annual tax calculations/returns.
-prepare all requested financial aspects of the annual audit for submission by February 20.
-provide recommendations on software upgrades, financial policies, and/or any other changes for legal accountability, and better efficiencies including inventory management.
-provide any basic training required for the incoming Director of Finance (April) or other staff.
JFAO agrees to provide all necessary and relevant information needed to successfully complete the duties outlined above in a timely manner. The Director of Finance will attempt to give at least two weeks notice of any specific deadlines.
This position is available as of June 1, 2010. The successful applicant must be motivated and able to work independently
HOURS OF WORK
The hours of work will be dependent on the financial needs of JFAO as set out by the Finance Committee and communicated through the Director of Finance.
The maximum number of hours required per month will be 10-15 hrs. Additional hours may be required at peak times of the year, particularly to prepare for the annual audit in February. Pre-approval of additional hours is required from the Chair of the Operations Committee prior to working the additional hours.
The actual hours worked, whether weekday, evening, or weekend, are irrelevant to JFAO, so long as the tasks of the job are completed in a timely manner, with all statements up to date for monthly reports. The Director of Finance and Past President will be notified of planned working hours on a minimum bi-weekly basis.
Work may be completed at the JFAO office on the provided computer station, or at a home office providing security of all JFAO records can be guaranteed, tasks are completed in the timely manner required, and all records and reports are readily accessible to JFAO. Regular access and communication via e-mail is required.
